Workflow Builder is Rencore's visual editor for custom automations. Compose multi-step workflows from actions, conditions, approval gates, dynamic forms, and external integrations. The V3 engine runs custom workflows alongside pre-built ones, with the same audit trail, retry logic, and rollback support. Simulation mode tests new flows against current tenant state before going live.

How it works

Workflows are graphs. Each node is an action (delete object, modify property, send notification, run an external integration), a condition (branch on a previous result), an approval gate (wait for human sign-off), or a form (collect structured input mid-flow).

Build the graph in the visual editor, configure each node, set the trigger (policy violation, schedule, manual), and save. The workflow appears in the library alongside the 104 pre-built automations.

When approvals belong in a workflow

Automatic remediation is great for low-stakes actions: removing an anonymous sharing link, archiving an inactive site, revoking an unused API key. For high-stakes actions, deleting a user account, downgrading a guest, releasing a license, an approval gate ensures the action is reviewed before execution. The workflow waits at the gate, the approver decides, and the workflow continues or terminates.

Beyond remediation

The workflow engine is not limited to fixing policy violations. Use it for provisioning flows (request → approve → create with naming standards), onboarding (license grant + access request + welcome notification), incident response (oversharing detected → quarantine → notify legal → audit). The engine is the same; the triggers and actions differ.
