Custom Entities

Govern objects beyond Microsoft 365 and connected services. Define entity schemas, import from CSV or external systems, model relations, and run policies against them like native objects.

Custom Entities are Rencore's mechanism for extending governance beyond what connectors discover. Define an entity schema (properties, types, relations), import data via CSV or external system, and the entity participates in policies, segments, dashboards, and reports as a first-class citizen. Useful for business applications, compliance artifacts, third-party records, or anything Rencore does not natively inventory.

What “custom” means here

Connectors discover what their target systems expose, Microsoft 365 sites, teams, mailboxes; Claude workspaces and API keys; n8n workflows. Most organizations also need to govern objects that no SaaS API surfaces, internal business application catalogs, compliance artifacts (SOC 2 controls, DORA requirements, ISO 27001 evidence), partner registration records, audit trails for systems we do not connect to.

Custom entities cover that gap. Define the shape, import the data, run governance against it.

How it works

Open the custom entity builder, define properties (name, type, required/optional), and configure relations to other entities. Save the schema. Import data via CSV upload or via an API integration on a schedule.

The entity now appears alongside native ones, in the policy builder, report builder, segments, dashboards. Build governance against it like any other object type.

Common use cases

Business applications without a SaaS-native inventory (legacy systems, internal tools). Compliance artifacts where the artifact itself is the entity (a SOC 2 control, an ISO 27001 evidence record). Third-party records (partner contracts, vendor risk assessments) that have lifecycle implications. Anything where governance applies but Rencore does not have a connector, yet.

Frequently asked questions

What is Rencore governance?
Rencore governance is a SaaS platform that continuously monitors your Microsoft 365 tenant for policy violations, configuration drift, and security risks across SharePoint, Teams, Power Platform, Copilot, and AI Agents. It automates compliance evidence collection, surfaces oversharing and sprawl, and provides actionable remediation workflows, reducing manual audit effort by up to 80%.
What does Rencore discover during inventory scanning?
Rencore automatically inventories all resources across connected services: Microsoft 365 sites, teams, groups, mailboxes, Power Platform apps and flows, AI agents, plus the equivalent objects in Slack, Box, Confluence, Claude, and every other connector. Discovery runs continuously with delta detection, so new resources appear within minutes of creation.
How do Rencore policies work?
Rencore ships with hundreds of pre-built policies that detect governance violations across every connector, oversharing, sprawl, cost overruns, security risks, and compliance gaps. Policies run on a continuous schedule, evaluate each discovered object against configurable rules, and flag violations with severity (High, Medium, Low), category, and a recommended action.
